Our portfolio sits in the region's most established addresses, from Emirates Hills and Palm Jumeirah to Jumeirah Golf Estates and Dubai Hills Estate. Buildings in those communities are held to a standard that does not tolerate deferred maintenance, and the people who keep them there are as central to our business as the people who build them.

As a Facilities Coordinator at ADAM, you will keep our managed assets running to that standard. You will own the maintenance calendar across the portfolio, hold our contractors to their SLAs, keep every property compliant with UAE health, safety and civil defence requirements, and make sure issues are resolved before a resident or guest ever has to report them. This is a part-time role with the flexibility to work remotely, with regular attendance on site across our Dubai communities.

Responsibilities

  • Own the planned preventive maintenance (PPM) calendar across the managed portfolio — HVAC, MEP, lifts, fire and life safety systems, pools, landscaping and building fabric — and make sure work is scheduled, completed and signed off on time.
  • Act as the day-to-day point of contact for reactive maintenance, triaging requests from residents, tenants and holiday-home guests, dispatching the right contractor, and closing the loop with the reporting party.
  • Manage vendor and contractor relationships end to end: scoping works, obtaining and comparing quotes, raising purchase orders, monitoring SLA and KPI performance, and escalating or replacing underperforming suppliers.
  • Maintain and enforce health and safety protocols across all sites, including fire and life safety inspections, emergency procedures, permit-to-work controls and contractor site inductions.
  • Keep every property compliant with UAE and Dubai regulatory requirements, including Dubai Civil Defence, Dubai Municipality and relevant master community or developer regulations, and keep certification and inspection records current.
  • Track facilities budgets and expenditure against forecast, flag variances early, and support the annual service-charge and OPEX budgeting process with accurate cost data.
  • Maintain asset registers, warranty records, O&M manuals, AMCs and inspection logs in our CAFM/property management systems so the portfolio's history is complete and auditable.
  • Carry out routine property inspections and condition reports, log and chase snagging items, and support handover and mobilisation of newly completed or newly acquired assets.
  • Coordinate turnover, deep-clean and readiness checks for short-let and holiday-home units between guest stays, working alongside the Transparency Holiday Homes team.
  • Report on portfolio performance to the Asset Management team — open work orders, response and resolution times, recurring faults, spend against budget — and recommend where planned capital works would cost less than continued repair.

Skills & Qualifications

  • 3+ years in facilities coordination, property management, building operations or a related FM role, ideally across residential or mixed-use assets.
  • Direct experience of the UAE market and working knowledge of local compliance requirements, including Dubai Civil Defence, Dubai Municipality and master-community regulations.
  • Practical familiarity with building systems — HVAC, plumbing, electrical, fire and life safety, lifts — sufficient to assess a contractor's diagnosis rather than simply relay it.
  • Proven vendor management experience: tendering, negotiating AMCs, holding suppliers to SLAs and resolving performance issues.
  • Strong budget and cost tracking discipline, with comfort working in spreadsheets and reporting variances clearly.
  • Confident with CAFM, work-order or property management software, and quick to adopt new systems.
  • Exceptional organisation and attention to detail — you work from a schedule, you close loops, and nothing sits unactioned in your inbox.
  • Excellent written and spoken English; Arabic is an advantage.
  • Self-directed and dependable in a remote, part-time capacity, with the judgement to know which issues need escalating and which you should simply resolve.
  • A valid UAE driving licence and the ability to travel between sites across Dubai.
  • Residency in Dubai with the right to work in the UAE.

Compensation will reflect the candidate's experience and the agreed part-time hours, and includes the standard ADAM benefits package.
